Not every bank statement is a tidy digital PDF. Plenty arrive as scans, phone photos, or faxed copies—especially from older accounts, small banks, or clients who mail paper. Try to convert one of those with a standard bank statement converter and you get nothing: no columns, no numbers, sometimes not a single character. The reason is simple, and so is the fix.
Why scanned statements break normal converters
A digital PDF has embedded text—the characters are stored in the file, so a converter can read them directly. A scanned or photographed statement is just an image. Visually it looks identical, but underneath there is no text to extract, only pixels. Copy-paste selects nothing; a text-only converter returns an empty table.
To convert an image statement, the tool first has to recognize the characters in the picture. That is what OCR (Optical Character Recognition) does.
How OCR conversion works
Converting a scanned statement adds a recognition step before the usual extraction:
- Recognize characters. OCR reads the image and reconstructs the text—dates, merchant names, dollar amounts.
- Rebuild the table. As with digital PDFs, the tool figures out row boundaries and separates fields, now working from OCR’d text instead of embedded text.
- Structure and validate. Amounts, dates, and balances are placed into columns and checked for consistency.
The extra recognition step is where quality varies most. A blurry photo or a skewed scan gives OCR less to work with, so the input quality matters more here than with digital PDFs.
Get the best accuracy from a scanned statement
You can dramatically improve results before you upload:
- Scan flat and straight. Skew and curled pages confuse character recognition. A flatbed scan beats an angled photo.
- Aim for higher resolution. 300 DPI or better keeps small digits crisp; low-res photos blur decimals and commas.
- Good, even lighting. For phone photos, avoid shadows across the page and glare on glossy paper.
- Full page in frame. Cropped edges lose the first or last column—often the amount or balance.
- One statement per file when possible. Cleaner separation, fewer mix-ups.
Always review OCR output
OCR is powerful but not infallible—a smudged “8” can read as “3,” and a faint decimal can shift a value. So the review step is non-negotiable for scanned statements: spot-check large amounts against the original, confirm the closing balance ties out, and scan for any obviously wrong dates. Because you are reviewing structured rows rather than an image, these checks are fast. Digital when you can, OCR when you must
If your bank offers a digital PDF download, use it—extraction is more accurate straight from embedded text. Reserve OCR for the statements that only exist as images. A good converter handles both paths automatically: it reads embedded text when it is there and falls back to recognition when it is not, so you do not have to sort your files first.
